Role Overview
We are seeking an experienced and analytical Planning and Data Manager to oversee the Centralised Planning and Data Reporting functions across all UK Aviation and Corporate contracts. Based at Stockley Park, this position is responsible for leading a team of planners to ensure accurate, efficient, and proactive workforce scheduling, while also maintaining reliable and insightful reporting on operational data, service delivery, and KPI performance.
This is a critical role that enables frontline operational success by ensuring the right people are in the right place at the right time—supported by real-time data visibility and forward-looking manpower projections.
Key Responsibilities
Team Leadership – Central Planning Function
- Lead, mentor, and develop a team of planners responsible for scheduling across all UK airport and corporate contracts.
- Ensure daily and weekly schedules are prepared accurately, efficiently, and in compliance with contractual and operational demands.
- Monitor planner workloads, provide coaching, and implement standardised planning procedures.
- Conduct regular reviews and planning briefings to align staffing forecasts with operational demand and business needs.
- Ensure rotas are delivered on time and adjusted proactively for known variations (e.g., peak travel periods, major events, staff shortages).
Workforce Planning & Scheduling
- Oversee daily schedule planning to ensure full shift coverage across all sites, minimising gaps and unplanned absences.
- Drive operational efficiency by optimising workforce allocation and reducing over-resourcing.
- Maintain ownership of forward planning, including:
- Daily updates on scheduling status
- Weekly projections for staffing needs (including known attrition, vetting delays, training pipelines)
- Liaise with HR, Vetting, and Regional Management to align future plans with resource availability.
Operational Data Management
- Manage the collection, validation, and reporting of operational performance data across:
- Passenger screening (e.g., throughput, passenger numbers)
- Hold Baggage Screening (HBS) volume
- Cargo screening (airlines, regulated agents)
- Data centre and secure facility visitor access logs
- Corporate client service delivery records
- Ensure consistent, accurate capture of data from all relevant systems, manual sources, and field teams.
- Maintain alignment of data reporting with operational delivery, invoicing accuracy, and client KPIs.
Performance Reporting
- Produce and distribute clear, actionable reports and dashboards on:
- Planned vs Actual manned hours
- Shift fulfilment and attendance rates
- SLA performance across all contracts
- Provided vs Invoiced hours, with root cause analysis for variances
- Deliver reports daily (tactical), weekly (trend), and monthly (strategic/board level).
- Collaborate with the Data Manager and Invoicing Manager to ensure all reports are timely, clean, and aligned with financial data.
System Oversight & Governance
- Oversee planning and data systems (e.g., workforce management, access control, screening tools).
- Maintain and improve data governance protocols to ensure accuracy, consistency, and audit-readiness.
- Drive automation, standardisation, and continual improvement across all planning and data functions.
- Ensure GDPR compliance in all data processes and access rights.
Cross-Functional Collaboration
- Work closely with the Operations Support Manager and Regional Managers to align daily delivery with medium-term planning.
- Collaborate with HR, Vetting, and Compliance to ensure a complete, resourced, and cleared workforce pipeline.
- Support internal and client audits, business reviews, and tender responses by preparing historical performance data.

Candidate Profile
Essential Criteria
- Demonstrable experience in planning, scheduling, or operations support within a complex, high-volume environment.
- Proven leadership skills with the ability to manage and develop a high-performing team.
- Strong understanding of workforce planning and capacity management.
- High proficiency in Microsoft Excel and data visualisation tools (e.g., Power BI, Tableau).
- Experience working with workforce management software and time & attendance platforms.
- Excellent attention to detail, organisational skills, and ability to work to tight deadlines.
- Strong communication and stakeholder management capabilities.
- Minimum of five years’ continuous UK residency and/or valid right to work in the UK.
Desirable Attributes
- Background in aviation, security services, or facilities management operations.
- Familiarity with operational KPIs such as passenger throughput, HBS volumes, and security compliance.
- Experience with systems automation and reporting standardisation.
- Clean UK driving licence (preferred, not essential).
